It shouldn\u2019t be spent answering work emails, dealing with staff drama or resolving client crises. But unfortunately, that isn\u2019t usually the case. According to a Veterinary Hospital Managers Association survey, only 15% of <a href=\"https:\/\/todaysveterinarybusiness.com\/column\/take-charge\/\">veterinary practice managers<\/a> never work while on vacation.<\/p>\n<p style=\"font-weight: 400;\">So, as a manager, how can you ensure freedom from work intrusions?<\/p>\n<p style=\"font-weight: 400;\">Unfortunately, your team members often forget about the benefits of taking a break from the hospital, and managers can be their own worst enemy in allowing interruptions. It\u2019s easy if you\u2019re staying in town or going somewhere within cell phone range to keep in touch with the practice or \u201cdo a few things to help out.\u201d That attitude can make you feel like a team player and demonstrate your commitment. However, studies have identified the significant benefits of taking time off. They include:<\/p>\n<ul>\n<li>Better physical and mental health.<\/li>\n<li>Opportunities to think about oneself and what\u2019s important in life.<\/li>\n<li>Improved sleep quality.<\/li>\n<li>Enhanced focus, creativity and productivity when you return to work.<\/li>\n<li>Stronger relationships with family and friends.<\/li>\n<li>Decreased burnout.<\/li>\n<li>A boost in happiness and mood.<\/li>\n<\/ul>\n<h3>Time to Disconnect<\/h3>\n<p style=\"font-weight: 400;\">For starters, make sure your practice values and respects time off. The VHMA Insiders\u2019 Insights survey made clear that not just vacation time is regularly interrupted. Ninety-five percent of managers fielded team members\u2019 calls or text messages after leaving for the day, 45% \u201calways\u201d checked work emails after hours, and 28% \u201calways\u201d or \u201cusually\u201d worked on the weekend when they should have been off.<\/p>\n<p style=\"font-weight: 400;\"><img fetchpriority=\"high\" decoding=\"async\" class=\"alignright wp-image-22032 size-full\" src=\"https:\/\/todaysveterinarybusiness.com\/wp-content\/uploads\/sites\/2\/2022\/06\/Take-Charge-Charts-3.jpg\" alt=\"VHMA Survey\" width=\"275\" height=\"749\" srcset=\"https:\/\/navc.sitepreview.app\/todaysveterinarybusiness.com\/wp-content\/uploads\/sites\/2\/2022\/06\/Take-Charge-Charts-3.jpg 275w, https:\/\/navc.sitepreview.app\/todaysveterinarybusiness.com\/wp-content\/uploads\/sites\/2\/2022\/06\/Take-Charge-Charts-3-110x300.jpg 110w\" sizes=\"(max-width: 275px) 100vw, 275px\" \/>Incorporate respect for time off into your practice\u2019s culture by:<\/p>\n<ul>\n<li>Educating everyone \u2014 from the practice owner on down \u2014 about the benefits of time off.<\/li>\n<li>Not making it a badge of honor to be a workaholic. Instead, communicate that you value a work-life balance and make it possible for people to take time off.<\/li>\n<li>Respecting employees\u2019 time off. Don\u2019t call or text them during off hours.<\/li>\n<li>Not requesting extra work hours from employees who aren\u2019t interested, particularly salaried team members, who don\u2019t earn overtime pay.<\/li>\n<li>Training employees to handle work issues and setting up systems and workflows that make things go more smoothly and problems less likely to happen.<\/li>\n<\/ul>\n<h3>Delegate Duties<\/h3>\n<p style=\"font-weight: 400;\">Of course, specific manager tasks must be done when you\u2019re out, and they can be difficult to complete in a smaller practice. So, what can you do about it? Here are eight suggestions:<\/p>\n<p style=\"font-weight: 400;\"><strong>1.<\/strong> List all the tasks that make up your job and the approximate number of hours spent each week or month on each one. If something must be done on a specific day or week, note it. The list should be detailed, and don\u2019t forget what you might complete after hours or outside of the office.<\/p>\n<p style=\"font-weight: 400;\"><strong>2.<\/strong> Categorize the tasks. For example, you could consider:<\/p>\n<ul>\n<li>Tasks that must be done while you\u2019re gone.<\/li>\n<li>Items that might come up and need to be addressed.<\/li>\n<li>Tasks that don\u2019t need addressing when you\u2019re out or could be postponed.<\/li>\n<li>Items that could be broken into subtasks, with some done while you\u2019re gone and others put on hold.<\/li>\n<\/ul>\n<p style=\"font-weight: 400;\"><strong>3.<\/strong> Identify the best team members to complete specific tasks. In most practices, the responsibilities are divided among several people. Be sure to consider a stand-in\u2019s regular job responsibilities \u2014 overloading your most competent employee is a bad idea because it would violate the <a href=\"https:\/\/todaysveterinarypractice.com\/personal-wellbeing\/work-life-balance-for-employees\/\">work-life balance<\/a> you want to maintain in the practice and possibly push someone to quit. Occasionally, you\u2019ll identify someone who wants to work extra hours and is capable of handling all or some of the tasks. In that case, don\u2019t worry about the overtime pay; it\u2019s a cost of doing business.<\/p>\n<p style=\"font-weight: 400;\"><strong>4.<\/strong> Train selected individuals to accomplish what must be done.<\/p>\n<p style=\"font-weight: 400;\"><strong>5.<\/strong> Make sure someone knows how to handle potential emergencies. For example, who to call if the computers crash, what to do if the internet goes out, and who to contact about building maintenance issues.<\/p>\n<p style=\"font-weight: 400;\"><strong>6.<\/strong> Talk to your boss about how you propose delegating your work when you\u2019re out. Also, share any concerns about incidents that might arise when you\u2019re away.<\/p>\n<p style=\"font-weight: 400;\"><strong>7.<\/strong> Make sure all team members know whom to contact with concerns while you are gone. Make clear that the solution isn\u2019t to pick up the phone and call or text you. Instead, you want everyone to honor your time off the same way the practice honors theirs.<\/p>\n<p style=\"font-weight: 400;\"><strong>8.<\/strong> When you return to work, evaluate how things went. If something didn\u2019t get done or wasn\u2019t done right, or if a problem occurred, think about what could be handled better the next time.<\/p>\n<p style=\"font-weight: 400;\">Ideally, you\u2019ll want a backup plan for any employee who can\u2019t be at work. I\u2019m not talking only about vacation time but also illnesses, family emergencies and sudden resignations. Make sure your practice has someone else who can perform critical tasks, knows where the passwords are stored and can manage a crisis. That\u2019s another reason to have detailed job descriptions and written policies and procedures manuals.<\/p>\n<p style=\"font-weight: 400;\">Plan how to handle extended absences, and then enjoy your vacation.
